An
Overview
of X2Net OneStore
X2Net OneStore provides
powerful features that allow you to manage and
consolidate all your important information in one place,
whether it comes on paper or arrives via your PC. It is equally suitable for
the home user storing the data on his own PC, or for small businesses or large
companies storing data centrally and using true client/server technology for fast and
effective sharing of information between multiple users.
In it's simplest form
for single person use data is stored locally on the user's
PC and accessed directly by the program. Getting started is
as simple as installing the program and using it.
For more sophisticated environments
client/server mode can be used, with the data located on a
single PC ("the server" ) and accessed by multiple users on
the same PC, or from multiple workstations on a Local Area
Network, a Wide Area Network, across a VPN or even across
the internet itself. The data can also be accessed remotely
using nothing more than a web browser, at a friends house,
an internet café or on a smartphone etc.
Database support
includes the X2Net Nexus SQL Database Engine running on
Microsoft Windows, which is included. Future versions will add support for other database engines running on
Windows or other
platforms, such as MySQL on Linux or MS SQL Server on
Windows Server.

Capturing Data
Getting data in to X2Net OneStore is possible via a number
of different routes...
-
Using a scanner
-
Printing to the X2Net OneStore
Virtual Printer
-
Anything that you
see on your screen that you would normally print out
and file (receipts, statements, logon information
and passwords and much more) can instead be printed
to the X2Net OneStore Virtual Printer and will be
automatically captured by X2Net OneStore. Of course
if you do later need a physical paper copy of
something you can go to X2Net OneStore, find it and
print it out.
-
Capturing parts or all of the screen (screenshots)
-
Sometimes
information you want to keep appears on screen with
no facility to print it out. Rather than just
writing it down you can use the
X2Net OneStore Data
Capture Tool (which lives in the system tray) to
capture the whole screen, a specific window or a
specific screen area and automatically send it to
X2Net OneStore for safe-keeping
-
Recording Audio

Capturing text from the clipboard

Organizing Data
X2Net OneStore is very
flexible in the way you organize your data, allowing you to
configure it in the way that works for you.
At the
highest level are Stores. Think of these as the equivalent
of your office filing cabinet drawer. Users can create as
many Stores as required. Below each store users can create
an unlimited number of Folders. Think of these as the
equivalent of the individual files inside the office filing
cabinet drawer.
When you capture an
item it always goes into a Folder called "My Unfiled Items"
which is not associated with any Store. Think of this as
your desk tray where things that need to be filed are put.
To file an item in a particular Folder within a particular
Store simply drag and drop it to where you want it to go (or
use the right-click context menu as an alternative).
Alternatively you can store items directly in the Store
rather than in Folders within the Store if that suits your
way of working better. Later you may decide to move an item
from one Folder or Store to another and again this is simple
using Drag and Drop.
The reason for
captured items always initially going into the "Unfiled
Items" Folder is to aid your workflow by deferring the
decision about where to file an item until a time convenient
for you. For example you order something on the Internet and
a receipt that you need to keep is displayed. Rather than
immediately having to switch away from what you are doing
and start X2Net OneStore
then navigate your folder structure to decide where to put
the item you simply print it to the
X2Net OneStore Virtual Printer and it appears
in the "Unfiled Items" Folder automatically. At a more
convenient time you can start X2Net
OneStore and decide what to do with all the
unfiled items.
As well as the use
of Stores and Folders to organize your data it can also be
categorized. An item can be assigned to one or more
categories that you define (for example Invoices, Household
Bills etc. etc.), making it easy to locate items. Free-form
keywords can also be added to items, and the keywords used
in subsequent searches.
Sharing of data in a
multi-user environment such as an office is based on Stores.
User's share at the Store level, and all the Folder and
Items within it are shared, and permissions (defining which
users can access the store and what they can do with the
data in a Store, only read it or also update/delete it) are
also specified at this level. When designing a Store/Folder
structure in a multi-user environment these issues should be
borne in mind, with perhaps different stores for private
data (not shared at all), readable data (shared by everyone,
but only for read), global data (readable and writeable by
everyone), and confidential data (accessible only by a
select few users).

Searching
for Data
X2Net OneStore has
powerful searching capabilities allowing you to search by
keyword, date, who stored the item, and a range of other data
fields. You can build complex search queries containing
multiple search fields, and store them for re-use later.
The grid that displays your items has the usual
functionality allowing the user to select which columns
containing specific information about the item are
displayed, and to sort on those columns by clicking on the
column headers.

Sharing
OneStore data
with others
X2Net OneStore is a true Client/Server
application and scales easily from a single user to many,
providing company wide or third-party access to information quickly and
securely.
Utilizing a central X2Net Database
Server (automatically installed) on any Windows
system, users can connect from their computers (using the
X2Net OneStore Client) and
securely share
information as required.
Support for other database engines is
planned, and may be available by the time you read this.
Support is planned for MySQL, MS SQL, IBM DB2
and others.
To support this multi-user environment,
X2Net OneStore provides in-built security allowing access to
the data to be controlled on a user by user basis, limiting what
individuals can do. For example, you can allow other users
to read a subset of your data but not to update it, while
making other data completely private..

Remote
Access with any Web Browser
Providing the system holding your data
is up and running and connected to the Internet you can
access your data remotely using any Web Browser. For example
you could access your data from a friend's house; in an
Internet Café; at a client's premises; on a SmartPhone etc.
etc.
